2. What data is retrieved and how it is retrieved
The personal information gathered by DDNA about the customer depends on the established relationship between both parties. Personal information includes information about an individual who is reasonably identifiable. When customer places a purchase order or registers for a service offered by DDNA, this personal information is retrieved. To create an account or placing a purchase Order certain data elements are required, such as first and last name, phone number, email address, home address, shipping address and date of birth. DDNA may also gather data with the purpose of facilitating the order processing, to provide a better experience to the customer and to help improving DDNAs service. Information collected upon authentication or identity checks may also be collected and used for said purposes. Payment details, such as credit card information are directly entered and further processed by our payment gateway provider Mollie (see Payments) according to the applicable regulations (eg. conform to PCI Data Security Standards).
a) Collection of personal information through websites and Apps
Information such as metadata is automatically collected through customers use of DDNA website, or Affiliates websites and Apps, through cookies. Cookies are small text files that websites or apps may place on the clients computer or device. Usually cookies are used to identify recurrent users of websites and remember their preferences. DDNA may collect this information both anonymously and in relation to user accounts. Cookies are also used to allow the website to trace usage habits and aggregate data to allow DDNA to customize a customers experience on its website. For example, when customer visits DDNA website or uses a DDNA App, cookies maybe used to record information including server address, the date and time of the visit, the pages displayed, downloaded documents as well as the type of browser and operating system used. The information is used and disclosed by DDNA for purposes including statistical analysis and to facilitate the improvement of the functionalities and usability of our website and Apps. Similarly, when Apps from DDNA are used, we may periodically retrieve and use technical data and related information (including technical information about clients mobile device and system preferences), to facilitate the provision of software updates, software support and other services related to the Apps. Most browsers are automatically set to accept cookies but in the event that you wish to prevent this to happen you can alter the settings of your browser. If customer prefers not to receive cookies, for example by changing the setting on his/her browser, the customer may still be able to use most of the features of our website, including the ability to purchase items.
b) Sensitive information
DDNA only collects sensitive information (eg health information) where it is reasonably necessary for DDNA to perform its functions or activities and either you have consented, or we are required or authorized by law to do so.
c) Collection of personal information by third parties A number of third parties (e.g . members of the IF Online Boutiques program), operating with inti ferreira brand and under DDNAs distribution may collect customers personal information (e.g. when customer joins their mailing list, or recording customers article preferences). DDNA is not responsible for the privacy practices of these third parties and this Policy does not apply to them. These businesses should have their own privacy policies, which we advise the customer to read before providing his/her personal information to them.
3. Why customers personal information is collected
a) Main reasons
The main reasons why DDNA collects, holds, uses and discloses personal information are:
- to process transactions either in the physical boutiques or online and delivering products / services;
- to provide any kind of loyalty relationship;
- to promote DDNAs products / services or of the represented / distributed brands either via direct marketing, events and competitions, public relations and social media;
- to perform research and/or statistical analysis for the customers benefit (e.g. to improve customer satisfaction and product / service);
- To help tailoring existing or develop new ranges of products / services or offers and to facilitate the selective targeting of promotional offers and opportunities;
- To protect the security of DDNA physical boutiques including theft and fraud prevention;
- To resolve issues, answer queries and respond to social media;
- For general planning and administration;
DDNA may also retrieve, hold, use and disclose personal information for different purposes as described at the time of retrieval or which are required or authorized by or under law and for which customer has given his/her consent;
b) Direct marketing
By giving his/her address, email address and telephone numbers to DDNA, customer consents to DDNA to contacting him/her for the purposes mentioned above. This information may be sent in different forms such as by mail, email, social media and telephone among others. However, customer is always entitled to opt out from any service. For example inti ferreiras newsletter sent by DDNA contains a Unsubscribe facility and a link to a Preferences Center where customer can update his/her data. Customer can also contact us via email at email@example.com , call our Customer Service at +31703452928 or send a letter to our Customer Service at Annastraat 8, 2513 AT Den Haag, Netherlands and request to opt out of any non-desired service provided.
c) Emails and electronic communication
If customer gives to DDNA an email address or phone number, customer consents that DDNA uses electronic means to communicate with customer trough that email or phone number (e.g. to send notices or reminders). Customer may however prefer to furnish his/her personal email address or phone number to avoid, for example, a telephone number being accessed by his/her work colleagues.
d) Exchange of customers personal information with other parties
DDNA may exchange the customers personal information with third parties where appropriate for the purposes mentioned above, such as financial institutions for payment processing, DDNAs contracted service providers or partners (e.g. members of inti ferreiras online boutique program IFOB, agents, IT service providers, marketing and communications agencies, etc.) and other third parties that offer DDNA products / services. DDNA may also exchange customers personal data with regulatory, investigative or government bodies according to the applicable law. DDNA may ask one of these third parties to directly contact the customer for a specific purpose related to the provision of the relevant products / services and request feedback on the collected information.
4. Data quality and security
DDNA retains personal information in several medium types, such as printed documents, email contact lists and electronic databases. DDNA takes reasonable steps to ensure that:
- the gathered personal information and which maybe used and disclosed, is accurate, updated, complete and relevant (if used and disclosed);
- the personal information retained and used by DDNA is prevented from misuse, unauthorized access and any type of interference that may result in loss, modification or disclosure;
- the personal information no longer needed for the purposes above mentioned is destroyed or made unusable (e.g. by permanently de-identify it);
Customer can help DDNA to keep his/her information updated, by informing us about changes to his/her personal data.
DDNA takes considerable measures to secure personal information, such as website access via secure protocol, security measures on the access to DDNA information technology systems, including internal and external cloud, controlled access to DDNA premises, policies on document storage, security of assets and personnel as well as training and workplace procedures. Although we strive to protect the personal information of its website users, DDNA cannot guarantee the security of the information that a customer discloses online. If customer is concerned about sending information over the internet, he/she can contact DDNA as laid out in paragraph 3 c).
b) Third party websites
5. Access and corrections
DDNA Customer Service is at clients disposal to facilitate the access and correction of the retained personal information. We may verify customers identity before processing any access or correction requests, in order to ensure that the personal information in possession of DDNA is adequately protected.
DDNA can in general give to the customer access to his/her personal information within a reasonable period of time no longer than 45 days, subject to some exceptions permitted by law. DDNA may however charge a fee to cover the reasonable costs incurred in order to locate the information and providing it to the customer.
DDNA endeavor to correct the customers personal information whenever it is found to be erroneous. Whether client asks us to correct his/her personal information retained and controlled by DDNA, or if we have evidence that the customers personal information hold by DDNA is inaccurate, irrelevant or misleading, DDNA shall take, according to the purpose of said personal information, reasonable steps to correct it and to ensure that the information is accurate, complete, updated, relevant and not misleading.

All complaints received by the Customer Service shall be timely and fairly handled according to the context of the complaint. In general DDNA aims at providing an answer to the complaint within 30 days. However, depending on the complexity of the case and corresponding investigation, it may take longer, in which case DDNA will contact customer to inform him/her when a response is expected.
